Course Policies Handbook

At NihongoDekita, we want to make sure all students feel supported while also keeping our courses fair and sustainable. Please read the following policies carefully before joining a course.

1. Refund Policy

No refunds are available once a course has started.

Pre-course cancellations and refund requests are accepted up to 14 days before the course start date.

After this deadline, refunds are not permitted for any reason.

This policy is clearly stated on our FAQ page, enrollment page, Terms & Conditions at checkout, and in confirmation emails.

2. Deferment Policy

We understand that unexpected situations can happen. To support students, we offer the option to defer (postpone) your enrollment under certain conditions.

General rules:

Each student may defer once per course

The deferred course must be taken within one year of the deferment request date

Defer Request Deadline

Defer requests must be submitted before the second Speaking Session begins.

After this point, deferment is generally not permitted.

Special Rule for Japanese 101 (5-week course):

Because this course is short and designed for new students:

Deferment is only possible if requested 10 or more days before the course start date

Once the course begins, deferment is not permitted

If approved, a ¥3,000 administrative fee will apply when re-enrolling.

Accepted reasons for deferment:

Illness, hospitalization, or caregiving (self or family)

Bereavement (immediate or extended family)

Sudden work schedule changes, business trips, or department transfers

Unexpected childbirth or parenting responsibilities

Significant mental health concerns (e.g., under treatment for insomnia, anxiety)

Visa issues, return-to-home orders, or unforeseen travel mandates

Not eligible for deferment:

Personal travel plans

Schedule conflicts with other courses

Lack of motivation

3. Course Level Adjustment (Promotion or Demotion)

To ensure the best learning experience, students may move to a different level if:

A misplacement is identified within the first two weeks,

A teacher confirms a better fit after Week 1 or Week 2, or

The student requests a change and has a clear track record of readiness.

Level adjustments are generally considered during the early part of the course.

4. Course-Specific Rules

Japanese 101 (5 weeks)

Since all students are new and the course is short, deferments are only possible if requested 10+ days before the start date.

No deferments are allowed once the course begins.

If approved, a ¥3,000 administrative fee will apply at the time of re-enrollment.

Japanese 102–203 (8–14 weeks)

Free deferment is allowed before the second Speaking Session begins

After the deadline, deferments are generally not allowed.

However, in cases of serious external circumstances (such as illness, caregiving responsibilities, or childbirth), deferment may be approved with a ¥3,000–¥5,000 administrative fee.
